Historic Terms & Version Archive Policy
1. Purpose
1.1 Talk4 keeps historic versions of contractual terms and key policies so customers can identify the documents that applied when they ordered, renewed, varied or used a service.
1.2 This Policy supports transparent contract administration. It does not itself replace the terms shown in a customer’s Contract Summary, Contract Information, Order or applicable historic document.
2. Which terms apply to a customer?
2.1 The terms supplied/identified when the Contract was made generally apply, together with any later variation that was validly made in accordance with the Contract, law and Ofcom rules.
2.2 Publishing a new website version does not silently rewrite an existing customer’s historic contract. Where a new term is intended to affect existing contracts, Talk4 will use the contractual/regulatory change process and record the applicable effective date/customer group.
3. Version identifiers
3.1 Each published legal document should have a unique document code/version, for example T4-LEG-CONS-2026-01, and show version number, publication date, effective date, audience and superseded version where relevant.
4. Publication and effective dates
4.1 The publication date is when a document is made publicly available. The effective date is when it starts to apply to the stated customer group. These dates may differ.
4.2 A document must clearly state whether it applies to new contracts only, specified existing contracts following a valid change, or both.
5. Historic archive
5.1 Talk4 should maintain a public /legal/archive or equivalent repository containing previous versions of General Terms, product terms, price policies, promotion terms, complaints/privacy/cookie notices where historic access is relevant, and other contract documents.
5.2 Archive filters should include customer type, product/document type, effective date/year and version. Historic files should not be overwritten by new content.
5.3 A historic document may be marked “Superseded” or “Historic” but should remain readable/downloadable unless law/security requires removal.
6. Contract snapshots and My Talk4
6.1 Each customer order should store or reliably reference the exact versions of the General Terms, product terms, Contract Information, Contract Summary, price/promotion terms and other contract documents that applied at consent.
6.2 “My Contract” should display the historical versions linked to the customer’s order, not simply redirect to the latest current website terms.
6.3 Talk4 should retain timestamps showing when required pre-contract documents were presented and when consent was given.
7. Promotions and product-specific terms
7.1 Each material promotion should have its own dated/versioned terms stating eligibility, benefit, duration, exclusions and end date. Expired promotion terms move to the archive rather than being deleted.
7.2 Product-specific schedules must identify the products/network/tariffs they cover so an old tariff can be matched to the correct historic document.
8. Corrections and new versions
8.1 Published contractual versions should be treated as immutable records. If wording must be corrected, Talk4 should publish a new version and record the correction rather than silently changing the historic file.
8.2 Minor non-substantive corrections to web metadata may be made without changing a contract, but the underlying published legal text should remain auditable.
9. Accessibility and downloads
9.1 Current and historic terms should be available in accessible HTML and/or accessible downloadable format where reasonably practicable. Customers who require an accessible format because of disability can request one free of charge where Ofcom rules apply.
10. Retention and evidence
10.1 Legal/contract records should be retained for a period consistent with applicable limitation, tax/accounting, regulatory, complaint/ADR and evidential requirements. Talk4 should document the actual retention period in its records-management schedule and Privacy Notice.
10.2 Archive integrity should be protected through access controls, audit logs and reliable backups. Published version identifiers should not be reused.
